HR Administrator and Executive Assistant


The Role

As Sitryx grows and develops as a company, we are seeking an experienced HR Administrator/EA to provide essential support across the Sitryx HR and Business functions. Reporting to the Head of HR, People and Culture, and working closely with other members of the Leadership Team (LT) and project leaders, the successful applicant will provide a wide range of Administrative and Executive support for Sitryx’s HR, management and scientific functions. This includes HR administration and coordination, supporting various LT and science team activities and initiatives, and acting as a key node with our IT team.

The role offers the successful candidate the opportunity to contribute across a wide range of HR and business support areas within a growing biotech, as we strive to rapidly develop the best medicines that treat the diseases or symptoms that matter to patients.

Based primarily on-site in Oxford, flexibility for some remote working

HR administration and coordination

  • HR file storing, secure sharing and management and provision of reports as needed
  • Optimising, developing and managing our User Lifecycle management process
  • Managing onboarding and leaver processes: to include creating and executing Induction schedules with input from various colleagues, managed via Smartsheet
  • Administer and record employee benefits
  • Updating the organogram
  • Maintenance of documentation including employee handbook and policies
  • Monitor holiday entitlements and absences
  • Managing training records including via potential future HRIS
  • Supporting/managing GDPR efforts across the organisation


  • Formatting and posting job descriptions and adverts
  • Managing the recruitment@sitryx.com email account
  • Liaising with recruitment agencies (alongside our HR Consultant/Head of HR)
  • CV management
  • Managing incoming direct job applications from our website
  • Candidate tracking including supporting anonymisation process
  • Interview scheduling
  • Provision of transactional HR support to include administering references and OH requirements
  • Recruitment contracts management: progressing signatures, filing

Support for IT

  • Acting as a key node in ensuring smooth communication between Sitryx and our IT Consultants, including supporting effective Onboarding and Induction
  • Providing access for New Starters to our literature platform

Website and LinkedIn

  • Supporting external agency and Sitryx internal team to post news items and links to any LinkedIn posts that we choose to feature on the website, as required
  • Supporting external agency and Sitryx internal team to liaise with website hosts to progress more complex items, as required

Life cycle management

  • Working with Sitryx IT team to create new files and managing existing user life cycle files via Smartsheet, as required

Supporting Leadership Team (LT) members

  • Calendar management and administrative bookings for company meetings such as Town Halls, Science Project Reviews, Offsites, seminars, workshops and Scientific Advisory Board (SAB)
  • EA support to the wider LT where required, including investor conferences and meetings on occasion
  • Providing support to and cover for the EA to the CEO where appropriate
  • Administrative support for various ad hoc projects as required


  • Progressing electronic signatures on a range of HR and administrative documents as required
  • Creating Sitryx branded documents as required

Essential Requirements

  • High proficiency with Microsoft Office
  • Keen attention to detail and accuracy on data entry
  • Good communication and personal skills – both verbal and written
  • Exceptional organisational skills, ability to prioritise and be calm under pressure
  • Reliable, dependable with the ability to maintain strict confidentiality

Desirable Requirements

  • Demonstrable experience in a Human Resources or Senior Administrative role within a busy and inspirational environment.
  • Familiarity with HR systems
  • CIPD qualifications (or working towards)


  • Positive and proactive attitude with a common-sense approach to problem solving with the ability to use initiative
